Privacy Policy
Effective September 12, 2026. This policy explains what information we collect, how we use it, and the choices you have.
1. Who we are
YourWebsiteMarketingService.com ("we", "us", "our") is a digital marketing agency that provides SEO, paid advertising, web design, content, email marketing, social media, and analytics services to small businesses. This policy applies to our website, our marketing communications, and the services we deliver to clients.
For the personal information described in this policy, we act as the data controller. When we process information inside a client's own systems on their instructions, we act as a service provider (processor) for that client — see Client and end-customer data.
2. Information we collect
Information you give us
- Contact details: name, business name, email address, phone number, website URL.
- Project details you share in a form, consultation call, or email — goals, budget range, current marketing setup.
- Newsletter subscription and marketing preferences.
- Billing information such as billing address and invoice contacts. Card details are handled by our payment processor; we never store full card numbers.
- Any files, credentials, or account access you choose to share so we can deliver services.
Information collected automatically
- Device and browser type, operating system, screen size, and language.
- IP address and approximate location derived from it (city or region level).
- Pages viewed, referring page, search terms that led you here, time on page, and links clicked.
- Cookie and similar identifiers used to measure traffic and campaign performance.
Information from third parties
- Advertising and analytics platforms that report on campaign performance.
- Business data providers and public sources used for prospect research.
- Client-authorised access to platforms such as Google Business Profile, ad accounts, or website admin areas.
We do not intentionally collect sensitive categories of personal information (such as health, biometric, or precise geolocation data), and we ask that you not send them to us.
3. How we use information
- Respond to inquiries, schedule consultations, and prepare proposals.
- Deliver, manage, and improve the services in your engagement.
- Send invoices, receipts, and service notices.
- Send marketing emails and newsletters where permitted, with an unsubscribe link in every message.
- Measure and improve our own website, content, and advertising.
- Detect, prevent, and investigate fraud, abuse, or security incidents.
- Comply with legal, tax, and accounting obligations, and enforce our agreements.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising by other companies.
4. Legal bases for processing
Where the GDPR or UK GDPR applies, we rely on: contract (to deliver services you requested), legitimate interests (to run, secure, and grow our business in ways that do not override your rights), consent (for marketing emails and non-essential cookies, withdrawable at any time), and legal obligation (for tax and record-keeping).
7. How long we keep information
- Inquiries that do not become engagements: up to 24 months.
- Client records and deliverables: for the engagement plus 7 years, to meet tax and contractual needs.
- Marketing subscriptions: until you unsubscribe, plus a suppression record so we do not re-add you.
- Website analytics: typically 14–26 months in aggregate form.
When information is no longer needed we delete it or irreversibly anonymise it.
8. How we protect information
We use encryption in transit, access controls with least-privilege permissions, multi-factor authentication on business accounts, a password manager for shared credentials, vendor review, and regular access audits. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any required regulator within the timeframes the law requires.
9. Your privacy rights
Depending on where you live, you may have the right to:
- Know what personal information we hold and request a copy.
- Correct inaccurate information.
- Delete information, subject to legal retention needs.
- Port your information to another provider.
- Opt out of marketing at any time.
- Opt out of targeted advertising or profiling, and withdraw consent.
- Object to or restrict certain processing.
- Be free from discrimination for exercising these rights.
To exercise a right, email privacy@yourwebsitemarketingservice.com. We verify requests using the contact details already on file and respond within 30 days (extendable to 45 or 90 days where the law allows, with notice). An authorised agent may submit a request with written permission. If we decline, you may appeal by replying to our decision, and EU/UK residents may also complain to their local data protection authority.
10. Client and end-customer data
When we run campaigns, email lists, or analytics inside a client's accounts, the client decides what data is collected and why; we process it only on their instructions. We do not use client end-customer data for our own marketing, do not combine it with other clients' data, and return or delete it at the end of the engagement on request. If you are the customer of one of our clients, please direct privacy requests to that business, and we will assist them in responding.
11. International transfers
We operate in the United States, and our providers may process information in other countries. Where we transfer information out of the EEA or UK, we rely on approved safeguards such as Standard Contractual Clauses together with additional technical and organisational measures.
12. Children's privacy
Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect their information; if we learn we have, we delete it promptly.
13. Changes to this policy
We may update this policy as our services, technology, or the law change. We will revise the effective date above, and for material changes we will notify subscribers by email or post a prominent notice on the site before the change takes effect.
